Setting up Zoom Advising Meetings
The main difference between setting up a Zoom for advising and using one for meetings or class is the importance of using the waiting room.
- Schedule the Zoom meeting: Log in to Zoom at etown.zoom.us
- Go to Meetings.
- Click the Schedule a New Meeting button.
- In the meeting set up options, check the box to use your personal meeting room.
- Make sure to uncheck “Enable join before host.”
- Check “Enable waiting room” under the meeting settings.
- Do not check Record the meeting automatically.
- Save
Use a shared collaborative form or document, such as a doc in OneDrive, to have students sign up for appointment times. Share the link to the Zoom meeting with the students by including it in the sign up form and/or sending an email.
Managing the meeting
Once you have set up the Zoom meeting, students will enter the waiting room as they arrive at your Zoom location.
To admit students at their assigned time:
- When you are ready to admit the next student, open the Participants panel in Zoom.
- Click the Admit button next to the student’s name.
When you are finished, just end the meeting and follow up with individual students as needed.
